We are seeking a highly organized and detail-oriented Administrative Assistant to support our team with daily administrative tasks. The ideal candidate will be proactive, efficient, and capable of managing multiple responsibilities in a non-profit environment. This position is an extension of the ministries of SEKBA and the ideal candidate will desire to serve in this role with a ministry mindset. Godly character and agreement with the values of Southeast Kansas Baptist Association is a must have. This position will report to the Director of Missions and work directly with the Camp Manager of Weir Baptist Camp.
Manage and maintain schedules, including arranging meetings, appointments, and travel plans.
Prepare and distribute correspondence, reports, and presentations.
Handle incoming calls, emails, and other communications, ensuring timely responses.
Organize and maintain physical and digital filing systems.
Handle data entry, record-keeping, and updating databases.
Coordinate office supplies and ensure equipment is maintained.
Support team members with project coordination and event planning.
Create and schedule content for SEKBA’s social media platforms on a weekly/daily basis.
Design graphics and materials in Canva to support events, announcements, and ministry communications.
Update and maintain the SEKBA website on a weekly/monthly basis, ensuring accurate and current information.
Handle confidential information with discretion.

A humble and teachable demeanor, that has a heart to serve Jesus and others.
1-3 years of experience in an administrative or office support role.
Have a basic knowledge of budgeting/accounting processes.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), as well as Adobe, Quicken or other similar programs. Proficient in navigating Gmail, Google Docs., & Zoom is a must have.
Strong organizational and time-management skills.
Excellent verbal and written communication skills.
Ability to prioritize tasks and work independently.
High level of professionalism and attention to detail.
Experience with managing websites and social media is required. Proficiency in Canva or similar design platforms is a must.
Part-time position, Monday through Thursday, 9:00AM to 3:00PM.
Office-based role (based out of Weir Baptist Camp's Office) with occasional opportunities for remote work.
Collaborative and support team environment.
$15 per hour
Paid time off (2 weeks vacation) and holidays.
Being a part of the Gospel Message being spread across Southeast Kansas.
DAILY, WEEKLY, AND MONTHLY:
Check Mail at post office.
Make deposits and record in spreadsheets.
Answer phone; take messages and assist callers as required.
Pay bills (either by check or online).
Check emails and handle as required (forwarding to DOM, church pastors, camp manager, or respond as required).
Generate quarterly financial reports for SEKBA and WBC.
Generate monthly financial report for WBC and weekly email report to camp manager.
Weekly generate spreadsheet showing bank account balances and forward to DOM.
Generate, print, and mail quarterly associational newsletter.
Quarterly send letters to churches listing their giving to designated accounts.
Using the sekba.org website, manage the party event rentals (reviewing estimates, accepting estimates, generating invoice, creating contracts, and generating unlock codes for storage container).
Verify payments received for party event rentals.
Contact, as required, with camp manager, church officers/members and KNCSB/Church Forward staff
Keep calendar of events and DOM’s schedule.
Manage and update SEKBA’s social media platforms with engaging content to promote ministries, events, and announcements.
Create graphics and digital materials in Canva for use across social media, newsletters, and the website.
Update the sekba.org website weekly/monthly with current events, news, and ministry information.
YEARLY:
Generate financial reports for Beautiful Feet Mission and Mexico Mission trips.
In January send letters to individuals who donated funds to SEKBA and WBC
In January prepare W2s and 1099s (if applicable)
In June review churches’ State of Kansas corporation status, update as appropriate and notify any church that missed deadline.
In August (when available), print and mail ACP (annual church profile) reports to churches. May need to record churches information online.
Keep registration/attendance lists for leadership conference and another conference event that the association holds. Attend leadership conference.
On the last banking day of the fiscal year, make deposits and pay due bills; print accounting reports and create new budget.
ANNUAL MEETING:
Approximately in August, draft flyer and letter for association’s annual meeting. Send messenger cards to churches and request information for the Annual Book of Reports.
Request reports for the mission trips, Christian Challenges, camp manager, summer camp directors and DOM. Generate Word and Excel reports as required. Prepare the annual Book of Reports and print.
Attend annual meeting, make motion for registered messengers to be approved to vote. Take minutes of meeting and draft for DOM’s review. Print a Book of Reports to include the minutes and mail to associational churches and libraries.
SUMMER CAMPS:
Maintain a registration spreadsheet for each camp, listing campers, sponsors, and volunteers, as well as fees paid/due. Attend first day of each summer camp for registrations and receive fees as required. Update spreadsheets as needed.
Prepare an income and expense spreadsheet for the summer camps.
Print camp schedules for posting and print camp booklets for some of the camps.
PAYROLL:
Verify payroll dates on bank’s website. Change net amounts as required on bank’s website and Microsoft Excel. May need to change dates payroll is to be deposited into employee’s accounts.
Verify amounts prior to drafting W2s.
